Emailing Clients
Email the board report to a client from the console, with the PDF attached, a personal portal link per recipient, or both, under your practice's branding.
When email is turned on for Bedrock GRC, you can send the board report and portal links to people at the client without leaving the console. Messages go out under your name and your practice's branding, replies come back to you, and every send is written to the client's engagement log.
When email is off
The Email card on the Branding page shows whether email is on. When it is off, the send form is disabled and says so. Everything else still works: download the report as a PDF and copy portal links by hand.
Email the board report
Open the client's Client access page. Email the board report has three parts:
- Recipients. Tick the client's contacts that have an email address, or type other addresses separated by commas, up to 20 people per send. Copy me sends you a copy.
- Message. The subject defaults to "Client: security program report, Month Year", and the message to a short note that fits what you are sending. Edit both. The email adds a short summary of the report (open risks and how many are above appetite, the posture of up to two frameworks, open and overdue roadmap items) and your signature.
- What to send.
- Attach the report as a PDF: the report as of today.
- Include a personal portal link, valid for 7, 30, 90, 180 or 365 days: opens the live program, read-only, until it expires.

With portal links, everyone gets their own
When you include portal links, each recipient gets their own message and their own link, labelled with their address and the date. You can see who opened which link, and revoke one person's access alone, from the Links table on the same page.
If a message fails to send, the link created for that recipient is revoked straight away, so no unsent link is left working. The page tells you who was and wasn't sent to.
Email a single portal link
The New link form on Client access has an optional Email it to field. Fill it in, add a note if you like, and the link goes to that one address when you create it. If you set a passcode, the email says the passcode will come separately; send it by another channel.
How the email looks and who it's from
- From: "Your name at Practice name", from the practice's sending address.
- Reply-To: your own email address, so replies come straight to you.
- Design: your logo, practice name, tagline and colours from Branding, with the contact line at the foot. The body is sent as both HTML and plain text.
- Signature: your name, then the practice's email signature lines (or the practice name if none is set).
What is recorded
Each send adds an email entry to the client's engagement log with the subject, what was sent and to whom, and an entry in the audit log (ids and counts only).
